When a borrower sends documents after business hours

Acknowledge receipt without promising review, lender acceptance or an earlier closing.

A borrower sends the requested document after the processing team has finished for the day. The response should make receipt understandable and set an honest expectation about what happens next. It should not suggest that an upload has already been reviewed.

Agree on that distinction before setting up after-hours messages. The wording, review schedule and exception coverage should reflect how your team actually works.

Decide what the receipt message can confirm

Confirm only what your approved process has established. A message may be delivered while an attachment fails to transfer. An upload may be available while nobody has checked its contents. Use the acknowledgment appropriate to the actual state.

Keep the receipt separate from any claim about completeness or acceptance. The processor still needs to compare the response with the request, and underwriting review may remain ahead. A friendly acknowledgment does not need to predict the outcome.

If your team provides a review window, use a window the team has agreed it can support. Otherwise, describe the next step plainly and leave timing questions with the responsible person.

Prevent conflicting follow-up

Check how incoming responses affect scheduled reminders. If a document is received but awaiting review, another message that says “we have not received it” is inaccurate. The record should distinguish missing evidence from evidence awaiting a check.

An incomplete response may still need a correction. That correction should follow the review and describe the problem found. Do not send the original request again solely because nobody has opened the attachment yet.

Keep a route for messages that need attention beyond document collection. A borrower asking whether they can commit to a closing appointment needs the appropriate team member, with the original question retained.

Illustrative acknowledgment script

This is sample wording for a document confirmed as available through the approved channel:

“Thank you. We received your document. Our processing team will review it against the request and contact you if anything else is needed. Please send any scheduling questions to the file contact listed in your existing correspondence.”

Adapt the final sentence to your team’s actual contact process. If the borrower has already asked a scheduling question, assign that question directly instead of relying on the acknowledgment to resolve it.

Avoid adding “everything looks good” to a receipt message. That sentence turns a delivery confirmation into a review claim. Also avoid “we will have this cleared tomorrow” when the review and decision are still outstanding.

Review the next-morning record

The morning queue should show the received response, its associated request and any borrower question that needs an answer. The processor should be able to check the document and send a specific correction without rediscovering the conversation.

For a software evaluation, send a sample response after the configured business hours. Inspect the acknowledgment, reminders and next-morning record. Then send an unreadable attachment. Record what was actually shown; do not assume evening receipt means evening review.
