An upload is one step. Someone still has to check it against the request, explain what is wrong, and file the accepted document against the condition.
Make the first request specific
Name the document, whose it is, and the period it covers. Include every page or signature the condition calls for. The person you asked should be able to look at a document and know it is the right one.
A request for a 2025 W-2 should say 2025. When a bank statement comes back short, name the missing pages instead of resending the same request.
Keep the request with the party responsible
The borrower does not owe every item. Title, insurance, an employer, an HOA or a payoff department may have it. Record who owes it so the next follow-up reaches the right person.
Update the open request after every response. Asking again for a document someone already sent costs everyone a call.
Check the response before filing it
Check the document type, period, person and legibility against the condition. A wrong or incomplete document goes back to the sender with what to correct. Anything needing judgment goes on the processor’s list.
File an accepted document against the condition it answers. The activity record should show what arrived and what happened next.
