Finding the delay between document receipt and review

Compare when documents arrive with when someone reviews them to find the delay in your queue.

Documents can arrive promptly and still sit before anyone checks them. To investigate that queue, compare the time each response became available with the time review began. Total closing time cannot isolate this part of the work.

Use a small internal review with consistent event definitions. The goal is to find where your team can change the next action, not to produce a broad claim about processing speed.

Define the events you can observe

Choose a receipt event that means the document is available to the reviewer. An email arrival may not qualify if the attachment still needs transfer into the approved file system. Choose a review-start event that reflects a person opening the work for the required check, rather than a status changed later in a batch.

Retain the source of each timestamp. If an event is unknown, mark it unknown. Filling a gap with an assumed time makes the resulting comparison look more precise than the evidence allows.

Separate elapsed waiting from staff working time. A response received overnight can have a long calendar wait without consuming a processor’s whole evening. Record business-hours coverage so that distinction survives the comparison.

Compare requests that share the same path

Group items with similar review needs and the same handling process. Separate straightforward complete responses from documents requiring clarification or correction. Also distinguish items that arrived through different channels if their transfer steps differ.

Compare the assigned queue and coverage during the review period. A file waiting for an absent owner presents a different operational problem from a file with no assigned reviewer. Keep both visible, but do not combine their explanations into “slow processing.”

Illustrative timestamp investigation

This is a sample analysis, not a Loandock result. Several complete sample responses arrive during staffed hours. Their records show a gap before review begins. Another response arrives outside staffed hours and is reviewed when coverage resumes.

Inspect the staffed-hours items first. Check whether the reviewer was notified, whether the work had an owner and whether another queue held higher-priority tasks. Read any note explaining a hold. The overnight item helps test the event definitions, but it does not by itself establish an internal staffing problem.

If usable responses were invisible to their assigned reviewers, test a clearer notification and assignment process. If reviewers saw them but were committed elsewhere, examine workload and priority decisions. The same timestamp gap can arise from different causes.

Check the result after one change

Keep the event definitions and comparison group consistent when reviewing the change. Record corrections and unresolved items alongside waiting time. A quicker first look that leaves more work unfinished may shift the delay into another queue.

Use the blank processing-time log to retain active work and elapsed waits separately. Keep borrower information out of the worksheet. Describe any improvement as an observation from the requests reviewed, with its scope attached.
