When a third-party reply changes who owes the next action

Use an insurance-document request to test whether processing software can handle a question, a correction and a handoff to another processor.

An insurance agent replies to a document request with a question. The file still needs the document, but the next action now belongs to someone on your team. A reminder that ignores that reply will keep asking the wrong person to move.

This is the handoff worth testing when you evaluate software for third-party follow-up: can it recognize that the person holding up the request has changed?

Start with a request that needs a reply

Use this illustrative scenario on a sample file. Your processor requests a corrected insurance document through the approved communication channel. The insurance agent responds: “Please confirm which mortgagee address you need before I reissue it.”

The document has not arrived. Sending the original request again does not answer the question. Someone responsible for the file needs to confirm the requirement before the insurance agent can act.

Keep the actual lender requirement authoritative. Software should not fill in an uncertain address or treat an old file as permission to choose one.

Watch what happens to the next action

Ask the vendor to show where that question appears, who receives it and which reminders remain scheduled. The unresolved item should include the request and the reply so the processor can make the decision without hunting through a separate inbox.

Check whether the reminder to the insurance agent is paused or changed while your team owes the answer. Then have the processor provide the approved correction. Follow the reply back to the insurance agent and inspect the next follow-up date.

If your processor has to copy the question, find the thread, stop a reminder and restart it later, record those steps. They are part of the work your team still performs, even if the initial email was automatic.

Send a corrected document with another problem

Continue the same demonstration. The insurance agent returns the corrected document, but one page is unreadable. Watch whether the system recognizes that the response still needs work and keeps the request open.

A status that changes to “received” may be accurate about the upload. It does not answer whether the document is usable. Ask to see the correction request and the record your processor would inspect. You should be able to tell which version is current and why the previous one needed replacing.

Then provide a complete response. Follow the accepted evidence into the LOS and inspect the associated condition. The underwriter retains the clearance decision on underwriting conditions.

Finish with a handoff to another processor

Have a second person open the file without narrating the demonstration to them. Ask them what is still owed, who owes it and what should happen next. If they need the first person to explain the history, the activity record has not answered the handoff question.

Use the evaluation worksheet below to record each observed step. Mark a capability as untested when the vendor describes it but does not show it. Use sample information throughout; the worksheet should contain no borrower names, loan numbers or documents.
