A case missing from FHA Connection’s Holds Tracking list does not, by itself, confirm that borrower validation passed. HUD’s help page lists other reasons a case may be absent, including the time since its details were retrieved and borrower information still awaiting overnight validation.
For a processor returning to a file, an empty list is therefore a reason to check the individual case’s status rather than close the task.
The list has removal rules
HUD’s Holds Tracking processing help says a case is removed from the list three working days after its details are retrieved, or within five working days if the details are never retrieved. The page also lists pending overnight borrower validation and cases not held for Homeownership Center review among the reasons a case may not appear.
Separately, HUD explains that cases which pass borrower validation and have no other hold do not appear in the list. Both statements can be true. Absence from the list has several possible explanations, so it cannot identify the result on its own.
Check the individual case
HUD’s guidance for resolving new-case holds directs users to Case Query or Case Number Assignment to further verify a case that is not listed in Holds Tracking.
Use that individual-case result to determine what remains open. The useful handoff to a covering processor is the status that was actually checked, when it was checked and any unresolved warning. “No case in Holds Tracking” reports a search result; it leaves the validation outcome unanswered.
If a warning remains, follow the applicable HUD instructions for that warning. A case disappearing from the list is not a reason to alter borrower information. Check the supporting records before making a correction, and route an unresolved discrepancy to the responsible person.
A case number can arrive before validation finishes
The timing starts earlier than the next visit to Holds Tracking. HUD’s Case Number Assignment messages include a warning in which a case number has been assigned while borrower identification information is still being validated overnight. That warning directs users to check the next business day.
Keep the follow-up attached to that assignment. Recording the case number finishes one part of the work; the pending validation still needs its later check. A teammate taking over the file should be able to see that distinction without reconstructing the original session.
Borrower information changes can also trigger overnight validation on an existing case, as HUD’s existing-case guidance explains. Review the relevant instructions after a change rather than carrying an earlier result forward as though nothing changed.
Scope the FHA Connection work explicitly
Clara can work in approved external systems, including FHA Connection. During onboarding, Loandock reviews the team’s tasks and approved access. If FHA case work is part of the assignment, agree which entry or update tasks Clara will perform and who will return for the follow-up checks.
