A file handoff before a processor goes on leave

Give the covering processor the current evidence, pending decisions and communication plan before leave begins.

A covering processor should be able to take the next action without calling the person who is on leave. Prepare the handoff around unfinished work and decisions, with links to the file evidence and communication history that support them.

Review open work with the covering processor

Start with active requests, documents awaiting review and questions waiting for a decision. Identify the current owner of each next action. An external request may still need an internal answer before the third party can proceed.

Include confirmed near-term obligations under your team’s procedures, along with the source of each date. Distinguish a lender deadline from an estimate or a date discussed with the borrower. That lets the covering processor set priorities without inheriting an unsupported promise.

Keep borrower information in the approved file systems. The handoff should point to evidence already there rather than creating a separate collection of attachments in an informal document.

Explain the current communication plan

Record who was contacted, what they were asked for and when the next follow-up is planned. Flag requests that were paused or revised, especially if an older reminder could restart accidentally. Include any reply that changed the next action.

Tell the covering processor who can answer lender questions and who handles borrower scheduling concerns. If a decision belongs to the loan officer or another team member, name that role in the task rather than leaving the covering processor to infer it.

Use the team’s approved access and assignment process. The covering person needs their own authorized access to the work; the handoff should never depend on using someone else’s credentials.

Illustrative handoff note

This is a sample internal note, with no customer information:

“Current condition list is in the file. The replacement statement is received and awaiting processor review. The earlier copy lacked a page; the correction exchange is attached to the document request. Please review the replacement before sending another reminder. The insurance contact is waiting for our confirmation of the requested address. That question is assigned to the designated file owner. Check their answer before following up with the contact. The loan officer owns any update about the expected closing date.”

The covering processor should be able to open the referenced records and verify those statements. If a note says “received” but no accessible document supports it, reconcile the gap before leave starts.

Make the transfer observable

Have the covering person inspect a sample of open tasks and describe the next action in their own words. Resolve missing context while both people are available. Confirm the actual assignments and notifications after the handoff conversation.

On return, review what changed rather than treating the pre-leave note as current. New conditions, replacements and decisions should remain in the file history so the returning processor can pick up from the latest state.
